2024 Annual Meeting Frequently Asked Questions and Information to Presenters

Q: Will there be laptops in each room or do presenters have to bring their own?

A: Not all the rooms have laptops so the chair of each session should bring a fully-charged laptop to load presentations. 

Q: Can I have more information about my session type?
A: All sessions are 90 minutes total, including presentations and Q&A. As a reminder, below contains information about each session type:
  • Paper Symposium Oral Presentation:
    • A group of paper presentations focused on a common theme that are submitted together. Each paper has 15-20 minutes to present. Questions and comments can be given either after each individual talk, or at the very end of the session. 
  • Constructed Symposium Oral Presentation:
    • A symposium that includes individual paper submissions that are grouped thematically by review panel co-chairs. Each paper has 15-20 minutes to present in a session of four papers. Questions and comments can be given either after each individual talk, or at the very end of the session. 
  • Flash Talk Oral Presentation:
    • A collection of individual paper submissions that are grouped thematically by review panel co-chairs. Each paper has 6-8 minutes to present in a session of 7 other flash talks (i.e., 8 total). There will be time for questions and comments at the end of the session.
  • Poster Blitz:
    • In front of a poster you design, you have 5 minutes to present your research to a group of people. Directly following the presentation, 2 minutes are allotted for questions and comments. A total of 10 presentations are given. Posters should be a maximum size of 42”H x 36”W. 
  • Mini-Poster Blitz:
    • In front of a poster you design, you have up to 15 minutes to present your research to a group of people. Directly following the presentation, 2-5 minutes are allotted for questions and comments. A total of 4 presentations are given. Posters should be a maximum size of 42”H x 36”W. 
  • Poster Presentation:
    • An individual visual presentation of 90 minutes. The presenter will stand in front of their poster while attendees move about all posters. There is no formal presentation in this format. Posters should be a maximum size of 42”H x 36”W.
Q: What are the size requirements for a poster?
A: The poster board size can be a maximum size of 42”H x 36”W — it can be smaller, but no larger. Note that posters for this year’s conference are portrait, not landscape. Here is a helpful video showing how to make vertical posters: https://www.youtube.com/watch?v=DweJWN853iU.

Q: What are the available poster printing options?
A: If you want to call FedEx in the Hilton Chicago to see if they can print your poster on-site so you don’t have to carry it, the phone number is: 312.588.0471. They can help with printing along with a company called PosterNerd (https://www.posternerd.com/). FedEx shipping instructions along with the costs can be found within the attachment below. 

Q: Why did my paper become a poster?
A: We understand that you may have indicated that you wanted a paper presentation and were assigned another presentation type. We received many more strong papers than we were able to accommodate. The papers that were accepted for presentation were then organized into Symposia, Flash Talks, and Poster Blitzes by the Panel Review Co-Chairs, the topic experts. If the paper was not grouped into one of these sessions, it became a poster presentation.

Q: Who were the Panel Review Co-Chairs?

Q: Do I need to bring any connectors or adapters with me to my presentation?
A: Please bring your presentation on a thumb drive to upload onsite! For Mac users, the Hilton does not have Mac connection adapters, so anyone using a Mac will need to bring an HDMI adapter. These can be bought on Amazon from $8-$12 or at the Apple Store from $19.
